Terms & Conditions – Events

  1. EVENTS
    1. These Conditions apply specifically to events organised by GFM. A delegate, exhibitor or sponsor reservation for a future event, webinar or awards ceremony (Event) organised by GFM must be made by the Customer placing an Order in accordance with these Conditions and once accepted by GFM is a Contract.
    2. Registrations for Events must be paid by debit/credit card and will not be confirmed until payment has been received. Please note that registration will occur only when GFM confirms receipt of payment. Payment must be made within 30 days of a registration order being placed or at the latest the day before the Event.
    3. Substitution of Events delegates or awards attendees is acceptable at any time and notification of substitution should be emailed to [email protected].
    4. Cancellations should be made by email to [email protected] and will only be accepted up to one calendar month prior to the Event and will be subject to an administration fee of £250 + VAT per delegate. No refunds can be given on or after the end of the last Business Day one month before an Event. All tickets must be paid for, even where a delegate is unable to attend, unless GFM expressly receives a cancellation. Non-attendance or non-payment will be taken as a cancellation on the day of the Event and will incur a 100% cancellation fee.
    5. Subject to clause 1.7 of this schedule 1, in the event of the cancellation of an Event by GFM, GFM’s liability will be restricted to the refund of fees paid by the Customer.
    6. GFM reserves the right to make changes to the programme, speakers or venue of any Event.
    7. GFM reserves the right not to offer refunds if events outside its control, including disruption of transport, non-availability of the venue, public health emergencies and acts of terrorism, prevent the Event from taking place or prevent delegates and/or speakers from attending on the event or awards date. Should such circumstances prevent the Event from taking place on the specified date, GFM will endeavour to rearrange an equivalent programme at a later date.
    8. Final Event information including confirmation of registration, direction and the Event brochure will be emailed to delegates approximately one week before the Event. Confirmation of webinar registration will be emailed to the Customer automatically from GFM’s registration portal. If you do not receive this confirmation email, please notify [email protected].
    9. GFM will include a delegate list in the Events brochure distributed to all attendees. Events sponsors will be given details of those who register for the Event they are sponsoring. The Customer should notify the events team on [email protected] if it does not wish to be included in the delegate list.
    10. The Customer is obliged to notify the events team at the time of booking of any special requirements that it may have such as dietary restrictions or accessibility needs. Without prior notification, GFM cannot guarantee that it will be able to cater to special requirements.
    11. Photographs are taken at Events and may be used for marketing purposes. If the Customer does not wish its photograph or the photograph of any attending on behalf of the Customer to be taken or used in this way, please notify the events team on [email protected].
    12. Contracts for the sponsorship of an Event cannot be cancelled, other than by agreement in writing with GFM.
    13. Customers who purchase Events proceedings in electronic format are permitted to:
      1. save the presentation slides and audio files to the hard disk of a personal computer;
      2. print out the proceedings for personal use; and
      3. cite information from the proceedings in internal presentations and internal documents provided the material acknowledges GFM as the copyright author. The Customer is not permitted to include material from any Services in any published work without requesting prior written consent from GFM as the copyright owner and the use of material may be subject to an additional fee.
    14. Customers of Event proceedings in electronic format are not permitted to:
      1. email or otherwise transfer electronically the proceedings to another person who is not authorised to use it
      2. store the proceedings on the hard disk of a computer which can be accessed by anyone not authorised to use it
      3. copy the proceedings to a compact disc, DVD, USB or other removable storage medium, other than for temporary personal use
      4. publish the proceedings or sections of the proceedings on a company intranet, the internet or any other electronic publishing system
      5. modify or re-work the proceedings in any way in order to distribute, lease, rent, sub-license, charge or sell them
      6. access or download any Events published on the Website that the Customer has not registered for.
  2. ADVERTISEMENTS
    1. Having consulted the Customer, GFM has at its absolute discretion, the right to omit, suspend or change the position of any Advertisement accepted for insertion, and the right to make any alteration it considers necessary or desirable in an Advertisement or to the specification of the Services if necessary to comply with any applicable law or regulatory requirement provided that the amendment will not materially affect the nature or quality of the Services and will inform the Customer accordingly.
    2. The Customer warrants and undertakes that:
      1. it has, and has paid for and shall maintain, all necessary licences, permissions and consents which may be required for the use of the Advertisement Copy provided by the Customer to GFM for its supply of the Advertising, before the date on which the Services are to start;
      2. the Advertisement Copy will not, when used in accordance with the Contract and any written instructions given by the Customer, infringe Intellectual Property Rights or be defamatory to any third party;
      3. where the nature of the Advertisement Copy relates to, or is part of, a service, activity or product subject to regulation by The Financial Services Authority, or any other regulatory body, the Advertisement Copy has been subject to review and approval in accordance with all required compliance procedures; and
      4. the Advertising Copy will comply with all applicable laws and regulations including all Regulations.
    3. GFM shall have the right to refuse to accept any Advertisement Copy and shall notify the Customer of such refusal and request an amended Advertisement Copy (setting out a clear timeframe for resubmission) within 5 Business Days of receipt. If GFM cannot accept a second and amended Advertisement Copy or the second Advertisement Copy is not submitted within the requested timeframe, GFM shall be entitled to terminate the Contract immediately and shall not be liable to the Customer in anyway whatsoever.
    4. The Customer agrees to indemnify and keep indemnified GFM against all direct liabilities, costs, expenses, damages and losses suffered or incurred by GFM arising out of or in connection with the use of the Advertisement Copy or the publication of the Advertisement by GFM.
    5. GFM accepts no responsibility for any delay or interruption experienced by the Customer in delivering the Advertisement Copy to GFM or for any loss or damage to Advertisement Copy or any other materials (in electronic or other form) provided by the Customer to GFM.
